Client Calls Across Time Zones: A Practical Calendar Checklist
Reduce time-zone confusion by confirming the event zone, checking seasonal clock changes, and testing the reminder on the device you will use.
Put the Time in a Calendar Event
When a client is in another time zone, avoid relying on mental conversion alone. Use a calendar invitation and confirm the event appears at the expected local time on your device. Include the other participant’s city or time zone in the notes when that could prevent confusion.
Calendar events can account for time zones, but an incorrect zone or a changed device setting can still cause mistakes. Recheck recurring calls after travel, a schedule change, or a seasonal clock change.
Watch the Clock-Change Windows
Seasonal clock changes do not happen on the same dates everywhere. In most of the United States, daylight saving time runs from the second Sunday in March to the first Sunday in November, though some places do not observe it. The European Union’s current rule uses the last Sunday in March and the last Sunday in October. See the U.S. Department of Transportation and the EU directive for the published schedules.
Because the change dates differ, the time difference between two cities can temporarily change. Check the actual event time during those periods instead of relying on a remembered offset.
Before an Out-of-Hours Call
- Confirm the time shown on the calendar event and its time zone.
- Check the event after you travel or change the device time zone.
- Put the meeting link and any access details in the event.
- Choose a reminder lead time that suits the local time of the call.
- Test the reminder with the sound and quiet settings you normally use.
